Oracle Integration

Oracle’s recruiting integration with Willo allows you to seamlessly invite your candidates to a Willo interview. In this article, we will cover how to:


  • Enable the Oracle integration
  • Configure the integration for each interview
  • Invite and review your video interviews

Enable the Oracle integration

Note: When the integration is enabled, all data will be synchronized. The next synchronization could be up to 3 hours later. For the most seamless integration process, please ensure you have configured all of the jobs you wish to pull through to Willo before enabling the integration.

To get started, visit the Integrations page within the Willo application and search for the Oracle integration. Alternatively, click here.


Expand the integration tile and select Enable. This will launch a pop-up and you will need to grant access permissions to Willo in order for the integration to work. 


Once you have enabled this, you will be taken through the authorization process onscreen in order to enable the integration. 

Prerequisites

Before getting started, please carefully read the following to make sure you fulfill all requirements for the integration to work:

To set up this integration, you must have the necessary permissions to access the "Security Console."


In addition, your account must have the following roles to complete the setup.

  • ORA_PER_RECRUITING_ADMINISTRATOR_JOB
  • ORA_ASM_APPLICATION_IMPLEMENTATION_ADMIN_ABSTRACT

To find out how to access the "Security Console," please follow the first steps under Permissions below.


If you don't have access, please contact whoever has the necessary permissions in your company before continuing.

Import Configuration Package

  1. Download the configuration package from the connection flow:

  2. Go back to Oracle Recruiting Cloud, and click on your profile picture on the top right of the page:

  3. Click on "Setup and Maintenance" in the dropdown:

  4. Open the "Tasks Panel" by clicking the highlighted button below:

  5. Click on "Manage Configuration Packages" from the sliding menu:

  6. Click on the "Upload" button under the "Search Results" section:

  7. Click on the "Browse..." button and select the ZIP file you've downloaded from the connection flow:

  8. You should be able to check the package details by clicking the "Get Details" button; click the "Submit" button on the top right of the page to upload the package:

  9. You will be redirected back to the "Manage Configuration Packages" page. Click on the "Import Setup Data" button under the "Export and Import Processes" section of the package you've uploaded in the previous step:

  10. Click on the "Submit" button on the top right of the "Import Setup Data: Enter Basic Information" page:

  11. You will be redirected back to the "Manage Configuration Packages" page. The import process of the configuration package will start and please wait until its "Status" has turned into "Completed successfully":

Assign a security profile to the custom role

  1. In the right top menu, click on "Setup and Maintenance":

  2. Click on the box on the right side:

  3. Click on "Search":

  4. Search for "Manage Data Role and Security Profiles" in the search bar, press enter and select the entry as pictured:

  5. Search for the role you imported with the configuration package (ATS_INTEGRATION_SERVICE)
  6. Select the entry as it appears, and select "Edit"
  7. Click "Yes" when prompted.
  8. Simply click "Next" to go to step 2:
  9. Select the following:
    • Organization Security Profile: select "View All Organizations"
    • Person Security Profile: select "View All Workers"
    • Position Security Profile: select "View All Job Positions"
    • Country Requisition Security Profile: select "View All Job Countries"
    • Payroll Security Profile: select "View All Job Payrolls"
    • Person Security Profile: select "View All Job Workers"
    • Job Requisition Security Profile: select "View All Job Requisitions"

  10. Hit next until you reach the "Review" step.
  11. Finally hit "Submit":


Find your Oracle Recruiting Cloud API Domain

  1. Log into your Oracle Recruiting Cloud instance.
  2. Copy the URL, and paste it into the connection flow:


Create a new integration user

  1. Click on the 3-bar menu in the top left of your Oracle Recruiting Cloud instance:


  2. Next, scroll down to "Tools" open the menu, then go to "Security Console":

    Note: If you don't see the "Security Console" setting, you don't have the right permissions to complete the connection.

  3. Next, go to "Users" then "Add User Account"

  4. Fill in the necessary information, saving the "User Name" and "Password" for later:


  5. Next, click on "Add Role":

    Note: Save the Username and Password, as you'll need it later.

  6. Add the custom role of the configuration package (ATS_INTEGRATION_SERVICE) to the user
  7. Press "Save and Close".
  8. Enter the "Username" and "Password" in the connection flow:

Once this is done, you will have successfully enabled the integration - you should see an ‘Enabled’ status appear. 


Configure the integration for each interview

Once you have enabled the integration, you will notice an integration dropdown within each of your interviews.


By clicking on this dropdown, you will see the most recent list of jobs imported from Oracle. 


In order to connect one, or many jobs to this interview, you will need to select the desired job and corresponding trigger stage (the point in your process when an invite should be sent to the candidate) and select Apply as shown in the screenshot below. 




Invite and review your video interviews

Once your Oracle job and Willo interview are successfully connected, each time you move a candidate to the defined stage(s) within Oracle then they will automatically receive an invitation to participate in the interview. 


Once they have responded to the interview, Willo will send their response back to Oracle and you will be able to access it as a note on the application.
